Pre-Construction / Assigned Project Start Up
- Review construction documents, schedule, and scope of work with the estimator. Participate in project “turnover” meeting with assigned Preconstruction lead to gain understanding of project scope, budget, etc.
- Ensure that a notice to proceed and/or Subcontract Agreement has been received prior to the commencement of work.
- Read and understand the terms of the Subcontract Agreement.
- Ensure all required copies of the construction documents are printed and set up for field use, including posting of all pertinent project documentation on digital project management platform.
- Assist and review the project estimate converting into budget.
- Inform Payroll Management and Safety Management of any exceptions or special activities in burden, phase and cost codes, and/or requirement for certified payroll or CCIP tracking.
- Develop a Schedule of Values that captures positive cash flow.
- Ensure that an electronic job book is prepared for office and field use per company requirements.
- Ensure that all Safety Manuals are submitted including project specific MSDS.
- Generate, submit and track RFI’s as needed from review, Superintendent, and Field Engineer.
- Generate construction schedule in cooperation with the Superintendent.
- Generate construction logistics plan in cooperation with the Superintendent.
- Solicit price quotes for necessary material and equipment.
- Review project specifications and identify submittal requirements.
- Generate, submit, and track the required submittals.
- Issue purchase orders / subcontracts to all vendors and ensure that all required documentation is on file. This will be coordinated with Nicole.
- Ensure that all required information is given to scheduled labor force for their project review (scope of work, pages with take-off, and pricing).
- Issue the task order with the planned labor force prior to any work starting in the field.
- Set up cost monitoring and reporting systems within pre-existing procedures and ensure that the system is applicable to the specific project being managed, and all participants are aware of their roles within the system and procedures.
- Prepare and maintain a directory of suppliers, contractors, and subcontractors.
Construction Execution
- Communicate daily with Superintendent and field personnel as required.
- Review job cost status reports with Superintendents weekly.
- Communicate changes and revisions to Superintendents and ensure that the most current construction documents are being utilized in the field.
- Identify and price scope revisions and delays on assigned projects with proper documentation. Preconstruction should only assist on pricing exercises over $75K or require special complexities. Senior Management can assist on determining whether preconstruction assists with any pricing.
- Monitor and track pending change order requests. PM is responsible to proactively lead communication with clients, ensuring GGC is not at risk for performing work prior to approval.
- Prepare, organize, and maintain records to document activities on a daily basis and provide reports to senior management.
- In conjunction with the Superintendent, identify and coordinate project material and equipment requirements and the sequencing of the material/equipment procurement.
- Prepare monthly applications for payment that captures optimum cash flow. Applications shall be submitted prior to the due date stipulated in the subcontract and the contractor’s Project Manager.
- Completely understand and manage the contracted scope of work.
- Completely understand the specifications and ensure that they are adhered to.
- Review and approve/revise all project specific invoices weekly.
- Attend and be prepared at the weekly PM staff meetings.
- Review with Superintendent (prepared by Superintendent) the 7- Day Look Ahead and ensure that it is done on a regular interval.
- Ensure that all quality, safety, and production goals are adhered to and met.
- Safety. Ensure that our projects are being run safely and in accordance with our company’s safety plan and Safety Director (Marcus Scott). Communicate questions / concerns to Marcus Scott and/or Senior Management.
- Proactively review (and take corrective action if necessary with Senior Management) the Superintendent’s effectiveness in organizing resources and activities to deal with short-term concerns and manage the cost impact of this.
- Confer with supervisory personnel, owners, and contractors to discuss and resolve matters such as work procedures, complaints, and potential problems.
- Follow up in writing with all clients/contractors’ conversations and/or agreements as needed.
- Keep Senior Management informed and aware of progress of projects and indicate various solutions to any potential issues and manage the cost savings or impact of this.
- Be knowledgeable at all times as to what is in place and what is remaining to install and the cost associated with this work.
- Financial Reporting – Prepare and finalize all monthly financial reporting on assigned projects for monthly review with Senior Management and Owners.
Additional Responsibilities
- Understand all company processes, cost control and tracking systems as well as company policies as they pertain to the project management role.
- Improve existing and develop new client relationships through social interaction and networking. Build relationships with client personnel, maintaining GGC’s vision for being a trusted partner to our clients.
